Creating a quotation
Line items, sections, discounts, optional items, payment milestones and validity, step by step.
Last updated 15 October 2026
A quotation has a header (customer, title, dates), line items, narrative sections and payment milestones. The editor saves as you work.
Header
- Customer: pick an existing customer or create one inline with name, company, email, phone and GSTIN.
- Title: what the document is for, for example 'Rooftop Solar PV System — Supply, Installation and Commissioning'.
- Issue date and valid until. Validity defaults from your settings or the template.
- Currency: INR by default; USD, EUR, GBP, AED, SGD, AUD and CAD are supported.
Line items
Each line has a description, optional details, quantity, unit, unit price, your private unit cost, an optional line discount (percent or amount), a GST slab and an optional flag. Pull items from the catalogue to pre-fill everything. Amount is quantity times price, rounded per line.
- Units include nos, pcs, set, lot, hour, day, month, sqft, sqm, rft, mtr, kg, ton, ltr, kW, point, visit and job.
- Optional items print in their own block with an amount and are excluded from the total.
- Up to 200 lines per document.
Discounts
A line discount applies to one item. A document discount (percent or amount) applies to the whole quotation and is allocated across lines in proportion to value, so tax per rate remains correct.
Sections
Cover letter, executive summary, scope of work, deliverables, technical description, assumptions, exclusions, delivery schedule, commercial terms, warranty and notes. Templates pre-fill the relevant ones; hide any you do not need. Bracketed placeholders such as [brand] are highlighted, and the AI copilot panel lists any that remain under “Review before sending”.
Payment milestones
Define milestones as percentages or amounts with a due trigger, for example 'Advance with order — 40% — on order confirmation'. Percentages must total 100.
Status and revisions
A quotation moves through Draft, Sent, Viewed, Accepted or Rejected, Expired, Invoiced and Archived. Sending or revising takes a snapshot, so earlier versions are kept and can be compared.
