When an estimate is the right document
Early in a conversation, the customer wants a number and you do not yet have a fixed scope. Sending a firm quotation at that stage either locks you into a price you will regret or delays the conversation while you gather details. An estimate solves this: it is explicitly indicative, it shows how the number is built, and it gives both sides something to react to. Contractors use estimates after a first site visit; agencies and consultants use them after a discovery call; freelancers use them to qualify a lead before investing in a detailed quote.
What makes an estimate useful
Itemisation. A lump sum invites haggling on the total; an itemised estimate invites a conversation about scope, which is the conversation you want. Units matter too: per square foot, per point, per hour or per visit tells the customer how the price scales if they change their mind. GST should be shown even on an estimate, because the customer compares totals, and an estimate that omits tax looks cheaper than it is and causes friction later.
Checking the margin before you commit
An estimate is also your first chance to check whether the job is worth doing. Enter your cost per unit and the calculator shows gross margin. Inside Proposora this becomes a per-line view, coloured green, amber or red by margin band, with a helper that suggests a price for a target margin. None of it is visible to the customer. Read more under pricing and margins.
Why save it
Saved estimates become quotations without retyping; the customer record remembers what was estimated, quoted and invoiced; and the follow-up reminders make sure an estimate that went quiet gets a nudge. The Free plan covers all of this with no card.
