Sharing a quotation and customer acceptance
PDF download, share links, what the customer sees, accept and reject, and view tracking.
Last updated 15 October 2026
There are two ways to send a quotation: download the PDF and send it yourself, or share a private link that gives the customer a web version with accept and decline buttons.
Download from the quotation page. Free-plan PDFs are basic and carry a small 'Made with Proposora' line in the footer. Branded PDFs (Founders' Offer, Pro, Business) use your logo and colours and have no footer line.
Share link
- Choose Share on the quotation. A private link is created; only its hash is stored, so staff cannot read it back later.
- Use the WhatsApp button to open a pre-filled message, copy the link, or send it by email when email is configured for your account.
- Choose an expiry of 30, 60 or 90 days, or never. You can revoke the link at any time from the quotation page.
What the customer sees
A clean web page with your business details, the document, the totals, payment milestones and a PDF download. No login is needed. The customer can accept or decline by entering their name and an optional note. Costs and margins are never included.
Accept and reject
On accept, the quotation status becomes Accepted and the name, time and note are recorded. On decline, the status becomes Rejected with the name and note. Either way the document is locked; to change it, create a revision.
View tracking
The first time a link is opened, status changes from Sent to Viewed. The quotation page shows the number of views and the latest view time. A hashed IP is used for rate limiting only; it is not shown.
A link lets anyone who has it view the document. Share it only with the customer, and revoke it from the quotation page if needed.
